Dasibell ("we", "our", or "us") operates LeaseFlow OS, a commercial lease operations software platform. This Privacy Policy explains how we collect, use, disclose, and protect information about organisations and users who access our platform.

1. Information We Collect

We collect information necessary to provide the LeaseFlow OS service:

• Account and organisation data: Organisation name, administrator email address, contact phone, billing address, and any information provided during account onboarding.
• User data: Names and email addresses of team members invited to an organisation account.
• Operational data: Property records, tenant information, space assignments, contract terms, invoices, payment records (references and amounts entered by users), renewal dates, and any documents uploaded to the platform.
• Demo and support request data: Name, company, email, phone, and portfolio details submitted through the demo request form or support enquiries. This data is used only to respond to your enquiry and to schedule a demonstration.
• Email communications: Content of emails sent through the platform (invoice notifications, contract summaries, payment reminders) is logged as part of the communication record. Dasibell uses a third-party email delivery service to send these communications.
• Usage data: Log data including IP addresses, browser type, pages accessed, and session timestamps — used solely for security monitoring and service improvement.

2. Cookies and Analytics

LeaseFlow OS uses session cookies strictly necessary for user authentication and session management. We do not use advertising, tracking, or third-party analytics cookies. If this changes, this policy will be updated with advance notice.

3. How We Use Your Information

• To provide, operate, and maintain the LeaseFlow OS platform.
• To send transactional emails (invoice notifications, contract summaries, payment reminders, password resets).
• To respond to demo requests and support enquiries.
• To communicate service updates and material changes to this policy or our Terms of Service.
• To comply with legal obligations and enforce our Terms of Service.

4. Data Sharing

We do not sell, rent, or trade your personal information. We may share data only with:

• Infrastructure providers: Hosting, database, and email delivery providers under strict data processing agreements. These providers process data only as necessary to deliver the service.
• Legal requirements: When required by applicable law, regulation, or lawful government request.

We do not share operational data (tenant records, contracts, invoice data, payment references) with any third party beyond the infrastructure providers necessary to run the platform.

5. Data Retention

We retain operational data for as long as your account is active. Upon account termination, data is retained for 30 days to allow export, then permanently deleted within 90 days unless a longer retention period is required by applicable law. Demo request and support enquiry data is retained for as long as necessary to fulfil the request, then deleted.

6. Data Export and Offboarding

Users can export key records (tenants, contracts, invoices, payment records) as CSV files from within the platform at any time. Upon account closure, a full data export can be requested before the 30-day retention window expires. Contact support@dasibell.com to request an export.

7. Security

We implement industry-standard security measures including encrypted connections (TLS), hashed password storage, role-based access control, and per-organisation data separation. See our Data Security page for details.

8. Your Rights

Depending on your jurisdiction, you may have rights to access, correct, delete, or export your personal data. To exercise these rights, contact us at support@dasibell.com. We will respond within a reasonable timeframe and in accordance with applicable law.

9. Changes to This Policy

We may update this policy periodically. Significant changes will be communicated via email to account administrators with at least 14 days' notice where possible. Continued use of the platform after changes constitutes acceptance.
